About this Privacy Policy
This Privacy Policy explains how KALKUL K.K. ("KALKUL", "we", "us") handles personal data in connection with our websites, including www.kalkul.com, applications, membership and venue services, events, business communications, and digital or interactive experiences that we operate directly. Where we process personal data solely on behalf of a client, the client's privacy notice and instructions may also apply.
Personal Data We May Process
Depending on how you interact with KALKUL, we may process information such as your name, contact details, profile or account information, business affiliation, communications with us, membership or event activity, purchase and payment information, user-submitted information, and technical information such as device/browser information, IP address, access logs and analytics events. Individual client projects may involve additional categories described in the relevant experience or client privacy notice.
Why We Process Personal Data
We process personal data as reasonably necessary to provide and operate our services and experiences; manage accounts, membership, venue access and events; process orders and payments; respond to inquiries and business communications; deliver client projects; maintain security and prevent misuse; understand and improve our services; administer contracts and business records; and comply with applicable legal or contractual requirements. Where consent is required for a particular activity, we will seek it as appropriate.
Cookies and Similar Technologies
We use cookies and similar tracking technologies to operate our Site, remember your preferences, and understand how our Site is used, including through analytics services. You can control the use of cookies through your browser settings.
Sharing and Service Providers
We may share personal data with authorized KALKUL personnel, relevant clients, and service providers that support our hosting, cloud infrastructure, databases, analytics, payment processing, communications, administration, accounting or other operational functions. We do not intentionally disclose personal data to unrelated third parties without a legitimate purpose, authorization, or legal requirement. If KALKUL is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Retention
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and for applicable contractual, security, accounting, tax, legal or other legitimate record-keeping requirements. Retention periods vary by category and context. When data is no longer required, we take reasonable steps to delete or anonymize it, subject to normal backup lifecycles and applicable obligations.
Your Data Rights
Depending on applicable law and the circumstances of the processing, you may have rights to request access to personal data we hold about you, correction of inaccurate data, deletion of data, restriction or objection to certain processing, withdrawal of consent where processing is based on consent, and portability of eligible data in a commonly used format. These rights are not absolute and may be subject to legal, contractual, security, identity-verification or record-keeping requirements.
How to Make a Request
To ask a privacy question or exercise an applicable data right, contact motoko@kalkul.com with enough information for us to understand your request and identify the relevant data or service. We may request reasonable information to verify identity before disclosing, correcting, exporting or deleting personal data. KALKUL will review verified requests and respond within the timeframe required by applicable law. Where KALKUL processes the data only on behalf of a client, we may direct the request to that client or assist the client in responding.
Withdrawing Consent
Where KALKUL relies on your consent for a processing activity, you may withdraw that consent by using the withdrawal mechanism provided in the relevant service or by contacting motoko@kalkul.com. Withdrawal does not affect processing already carried out before withdrawal and may not apply where another lawful or contractual basis permits continued processing.
Security
We use reasonable organizational and technical measures appropriate to our operations to protect personal data against unauthorized access, disclosure, alteration, loss or destruction. No online or electronic system can be guaranteed to be completely secure.
International Services
KALKUL is based in Japan and may use service providers or deliver projects involving systems located in other countries. Where personal data is transferred internationally, we take reasonable steps appropriate to the relevant processing and applicable requirements.
Children
KALKUL's general services are not intentionally designed to collect personal data from children unless a specific project or experience expressly provides otherwise with appropriate safeguards. If you believe personal data concerning a child has been provided to us inappropriately, contact us.
Changes to this Privacy Policy
We may update this Privacy Policy when our services, processing activities or applicable requirements change. The current version and effective date will be made available through the relevant KALKUL website or service.
